Format Menu

                                               

                          Format menu contains following options.
                  
                    Font:
                                  This option changes the font and character spacing of the selected text.
                    Paragraph:
                                  It changes paragraph indents,text alignment,line spacing and other paragraph formats in the selected paragraph.
                    Bullets and numbering:
                                    Add bullets and numbering to selected paragraph.And modifies the bullets and numbering.
                        It has two options
                                    1: ordered listing
                                    2:Unordered listing.
                    Border and Shading:
                                    Add border and shading to selected paragraph.
                   Background:
                                    To add background on a page.It is used to making web pages and cannot be printed when you print word document.if you want to print background then you want to use option printed water marks.
                  Tabs:
                                     Set the tabs position of tabs stop.
                  Drop Caps:
                                     A drop cap is the first letter in the paragraph and it can be appear in left margin or dropped from base line in the paragraph.
                  Change Case:
                                    Change the capitalization of selected text and convert it into lower,upper,sentence,title and toggle. 


                        

Picture and Reference sub menus

       
 Picture and insert sub menus are present in insert menu.To know what options they carry see below:


                                                       Picture Sub menu:
                              Clip art:
                                      Ms Office has its own clip arts.We can add any image in our document.
                            From file:
                                     We acn add any type of image in ms word document from any drive or computer which contain differnt images.
                             From scanner or camera:
                                      We can add any image from directly attached scanner or camera.
                           Organization chart:
                                     we can draw a chart in ms word.
                          Auto shapes:
                                      we can draw and edit shapes.
                          word art:
                                     we can add word with differt styles,colos and shapes.
                         Chart:
                                     Chart is a graphical representaion of data.By using this command we can insert chart in ms word.
                     

                                              Reference sub menu:
                         Reference sub menu contains:
                 Footnote:
                                 Enter a footnote or endnote at the end of any active document.Footnote can be applied at the end of any active document.
                 Caption:
                                Caption is usually a title or label given to any object .
                  Cross reference:
                                  It is used to add reference to page or heading or anything by selecting from reference type field in cross-reference dialogue box.  
                 Index and tables:
                                    It is used to insert index and tables in document and allows you to modify them.
                         







Type of insertion in MS WORD

                                        Insert Menu:
                         You can insert anything in ms word using the insert menu.There are following insert options are present :

            Break:
                     This command is used for inserting page break,column break,or page section break at the insertion point.

           Page number:
                   This command is used for inserting page number at the top and bottom of every page and it automatically update when you add or delete the page.
      
             Date and time:
                          This command is used for inserting date and time at the insertion point.
            Auto text:
                        When you type an application or a letter.Then you need some opening and closing words such as
  1.           Dear brother
  2.            Loving Mom or dad
  3.          Hi friend
  4.           With best wishes
                Symbols:
                         To insert any type of symbol from character map at insertion point of ms word.
               Comments:
                           A comment is an opinion or discription of any word or text.
                Diagram:
                                        To make a different diagrams.
                 Text box:
                                        Draw a text box.It helps us to write text with graphics.
                  Object:
                                      We can hold differnt types of an object.For example we selected bitmap program.Draw any thing.This will added in our current document as an object.
                   Hyperlinks:   Ctrl+K
                                      An icon,picture or specially marked text located on the page that calls new information to the screen when user select it.





Type of Views in MS WORD

                                  There are 5 views in MS Word 2003 and 4 views in ms word 2002.

  1.                     Normal view
  2.                    Web layout
  3.                     Print view
  4.                     Outline view
  5.                    Reading layout
       Task pan:
                          you can active and deactivate the task pane.It is toggle command.
       Tool bars:
                         All tool bars used in ms word place here.  You can active and deactivate it on your choice.
      Ruler:
                      This is also toggle command and used for active and deactivate horizontal or vertical rulers.
      Document Map:
                       It displays the outlines of document on vertical pane along left edge.It quickly brows the document or file when you select it.
         
      Headers and Footers:
                    Add or change the text that appears the top ang bottom of every page.it contanins page number, numbers of pages,title,headings another name e.t.c.
     







Functions of File and Edit Menu


                         
                               Starting with menu bar there are present 8 menus commonly.Each of them has a drop down list of menus or functions.Now we are going to know them more.

                                             
                                   Click on "File" it will show you a list .Sometimes two arrows are present below the list, if they are present ,click on them and complete list will appears.all listed word such as new,open and save
are functions of file menu.same is for edit menu.
                                 
                                 Functions of File Menu:
                New:
                           It is used to open a new document.Ctrl + N is its shortcut key.
               Open:
                          It is used to open an existing document.and its shortcut key present newt to it Ctrl+O.
               Save:   
                            Save function is used to save a file.Click on save and a dialogue box will appear asking you about saving a document.Type name of file in file name field and you can also select the location where to save file.
               Save as: 
                       It is used to save a duplicate file.Or duplicate an existing file with another name.
               Save As web page:
                                        This function is used to save a file as a web page.Click on save as web page and save with the extension ".HTML" and it will save as a web page.
              Search:   
                                Search function is used to search any thing in word document present on your computer.
Write the search keyword in search text field and it will show you all documents on PC containing this word.
              Version:
                               This function allows to to save a version with comments and show you existing versions of document.
              Web page preview:
                                It will show to a preview of document that how file looks when it becomes a web page file.
               Print preview:
                               Same as that for web page preview. But show you how looks when printed.
                    Page setup:
                             It allows you to make changing in Page.
                 Print:
                                 If you have a printer connected then it will give you the option of printing the document.

               Send To:
                             It will give the option that where you want to sent your document.
                   Properties:  
                             It allows to change properties of document such as give a title,add subject,write author name and many others.
                 Exits:
                             It gives you the option to exit the MS Word.

               Functions of EDIT Menu:

                                     First two functions of edit menu are change repeatedly.First it will show as can't undo and can't repeat.But when you write something on page then it converts into Undo cut and repeat cut.
 If you write something that you will not want, select undo cut or ctrl+z.and it disappears.and if you realized that it needs you than select " Redo typing" and its shortcut is ctrl+y.

                       Cut,Copy,Paste and Paste Special:
                                    These functions are used to Cut,Copy,Paste and Paste special.Cut function is used to cut and same for others.
                     Office clipboard:
                                   Office clipboard give you the choice to see if anything is present in clipboard.It means if anything you cut or copy from anywhere and don't paste it yet.it will remains in clipboard until you paste it on somewhere.
                  Clear:
                           It gives the option to clear the formats or content.
                  Select all:
                              By clicking on it, complete document will be selected.
               Find,Replace,Go to:
                            These are used to find anything in document,replacing anything and go to any place.Enter in empty field where you want to go,replace or find.
                                                         This a short review to File and Edit Menu.




Functions of Toolbars




                     
             Know more about ms word.it is quite easy.Learn more about tool bars.
                       There is present menu bar.which is the first main bar.i already tells about it in previous post.Now go to menu bar.But before this here is an other important instruction for you:
                            

                               If you don’t remember what is the name of this bar and that bar.then it is quite simple to know.Keep an eye on any tool bar and see just left of the bar suppose we are seeing menu bar .small linings are present place your cursor on them and see it converts into four headed cursor.When your cursor  becomes four headed click and holding it, drag it on page. Then you see its mane is written on it.


                                     Now go to file menu placed on menu bar. These are options placed on each bar are there menus means option to do a task.go to file and click on it.It will show to a list.Read it.it will give you following options.

                        


                                 These are functions to do all this.for opening a new document.click new.and there short cut keys are placed in front of them.open any list and see them.

An introduction to MS WORD





                         We have been learnt, how to open an existing Word Document. And get benefited from it. And now we are going to know what features are present in ms word and how to use them. And which Tool Bars are present there and how to get benefited from them and acquire our desired result.
                         
                        
                         First of all, open your MS WORD and see its page. There is written on blue colored stripe “Document 1-Microsoft Word”. And 1’s place there may be written 2,3 or 4.This is the title of page and when you save a file with any name other than Document 1, then it will be seen on there.But don’t worry if you don’t save it with another name,this default name will remains there.
                      
                          After that,there beneath blue Title bar are other bars present. This blue one is Title bar.and lines beneath it are shown in figure with there names written just above them.


                                       And on the left side and just above the page are Rulers. And on right side, the bar that is scrolled up and down is the “Scroll Bar”. If you don’t recognize that where are rulers? then take an eye on page while selecting the options. Go to "Menu Bar" and click on  "View"click on ruler. If it is unchecked, means rulers was not present on page and they will appears now. If it is checked, means rulers were present on page and now they will disappear.
                             There are other things present on page, that what type of view you wants.
                            And it is present just right the drawing bar.

Open existing Word Document

                                       How to open an existing Word document.It is also a very important step but not difficult.Although opening an existing word document is very simple.you just click on the document and it will open.But the problem is that if you don't know where that file placed in your computer.so for that how to click on it and open it.
                                  There are other methods for opening word document.                                         
                           First of all start Ms Word and in "menu bar" click "open".
And an "Open" dialog box will appear.And in "look in" tab you can search that file.And it will open for you.
                          

                                   The other way is opening by open office document. go to "Start" button and click on "All Program". and a list will open choose "Open Office Document".

                                          
                                    And a dialogue box will appear named "Open Office Document".
       
                       
                 Select the "File" and click "Open". Or in "File name" box type name of file.Or in "Look in" box search the folder where it is placed and "File of types" box, select "Office Files" and it will show you all word document placed in selected folder.

Starting Ms Word


                           Hi everyone, I hope you know about installing MS WORD as I wrote about it in my previous post. Doing something in MS WORD is not difficult but as you already hear.
                                                                                                                

                                    Practice makes a man perfect. For making an expert it is necessary to make mistakes. If we don’t do mistakes then how we learn from them.
  
   
                      A second post on MS WORD is present here. In this post, I am telling you how to start or open MS WORD. So, after installing this software it will appears in your computer’s all program categories.
                         

                     First of all, for starting, go to START button of you computer’s desktop present in task bar. Just click on it. A list will open. And all software installed on your computer is present there. Here you can see which software and application you have on your system. So after that, left click on “all program” .and it will also show you a list. In this list all soft wares of Ms Office are present.
                 
                   
                                             Click on Ms Word. And it will open you a new word document. And now you do your work or write any thing in it.
    
             
                           This is a first procedure for starting of   Ms Word. But there are other procedures too. And one of them is by run command.
            

                              
 For starting by run command .Go to start button in your desktops task bar. And click on “Run” command. And a dialog box will open named “Run”. And in this empty box you can write everything to search. But for opening Ms Word. Write there “Win Word”. And press enter or click with your left mouse button. And it will open Ms Word for you.


                    But there is also another way for starting it. And it is by new office document.
                     Go to “Start” button. And click “All Program” button and then a drop down list will open. It will see you a list of software and now you click on “new office document” present there
                          
                             
                             
                               A dialog box will appear asking you about which document you want to start. Now you click on “Blank document”. And a new word document will open.

Learn Basic Microsoft Office.

                                   In my first post. I want to tell you simple and basic MICROSOFT WORD.
                 
                   Microsoft Word or MS Word is usually used to write documents,letters,applications and many other.For Virtual University Students , it is very necessary to learn.Because all assignments are done in MS Word.And i know students felt trouble, working in it.So i am going to learn you Basic MS WORD that because you don't find trouble anymore.And write your assignments without any others help.

                      So today , i want to tell you the first step.Which is Installation of MS WORD.
           
               Installation of this software is quit easy.It is usually present in MS OFFICE .MS OFFICE is a set of  six  main software present in a CD.Or you can download it from Internet. Google is the best Search Engine for finding anything. You just go there and write query "Download MS OFFICE ".And it will provide you the links of best websites.And after that you can download it from there.

                                       There are some steps for download it.
     1: Go to Google or any other search engine.
     2: Write you query in search box"Download MS OFFICE".
     3: Go to that website you like and like the "download" button available there.
     4: A quick box will appears asking you to run,save or cancel. Just click on Run, if you want to run immediately.
     5: It will ask you to which software you want to download and you select from the list of software's
     6: At last it will ask you to enter code which is written on CD's backside.If you download it online then there is file present in files you download, containing code.
     7: Just write it and click "OK " button and your MS OFFICE installed on your PC.And MS Word present in them.
                              This is  a very simple technique for installing it.Hope you will understand.
